Time cards

A weekly time card that looks like the paper one, and fills itself in from your day.

  • Weekly time card laid out like the paper sheet: date, truck #, begin odometer, start time, end time, total hours, loaded at, delivered to, end odometer, and totals.
  • Loaded and empty miles by state, total miles, and fuel by state. Log trucks get the California and Oregon columns.
  • On-road and off-road miles: enter the miles on logging roads and private roads for each load or day, split out by state, apart from your on-road miles. Off-road miles can matter for fuel tax refunds and weight-mile and highway use taxes.
  • GPS miles by state (optional): turn it on and the app counts your miles in each state and Canadian province while you're on the clock, even with the screen off. It works with no signal.
  • Off-road switch: flip it when you turn onto a logging road or private road, and those GPS miles count as off-road.
  • GPS miles are checked against your typed miles and odometer, and can fill in a load's miles for you.
  • Your route is never saved or uploaded. Only miles per state per day are kept.
  • Per diem: tap the days you claim, set your daily rate, and change any single day's amount.
  • Travel miles and notes for the week.
  • Share the time card as a PDF, with the driver's name and truck number at the top.

Starting and ending the day

  • Start day asks for your odometer and start time on one screen.
  • Your beginning odometer is filled in from that truck's last ending miles, even if someone else drove it last. Type over it if your dash says different.
  • Warns you about missing miles, like "42 miles unaccounted since last shift", but never stops you from saving.
  • End day to clock out, or just type in your hours instead.
  • Pick which truck you're in each day (it remembers the last one). That day's miles, loads and fuel go with that truck, so if you're in 104 on Monday and 217 on Tuesday, both trucks' reports stay right.
  • Wait timer: tap Landing, Scale, Mill or Other while you sit. The wait gets added to your next load.

Catching up

  • Fill in past days: pick a week from the list or jump to a date, then fill it in day by day.
  • Mark a day as off or didn't work.
  • Missing weekdays show in red on the time card, and you get a reminder on the home screen.
  • Anything filled in late gets stamped "entered late", so the record is honest. It's never blocked.
  • Fleets can lock weeks a set number of days after they end (off unless you turn it on).

Tickets & scanning

Snap the ticket and the load fills in. You always check the numbers before anything saves.

  • Scan with the camera or pick a photo you already took.
  • The text is read right on your phone, so it works up on the landing with no signal.
  • Every field read off the photo is tagged so you know to check it. Type anything it missed.
  • Two tickets, one load: scan the logger's load receipt and the mill's scale ticket in either order. They're matched by BOL into one load (for example BOL 92764, Example Ridge Unit 7 โ†’ Example Forest Products).
  • The second ticket only fills empty fields, and any differences are shown so you can pick the right number.
  • Ticket fields: mill ticket #, BOL, sale, brand, owner, logger, species, sort, contract, gross, tare and net weight, tons, and scale in and out times (which give your minutes at the mill).
  • Both ticket photos stay with the load. Scan the other ticket any time later.
  • A ticket scanned days later is dated by the ticket date, not the day you scanned it.
  • Don't have the ticket? Type the load in by hand.

Fuel

  • Scan the fuel receipt or type it in. Enter any two of gallons, price and total, and it works out the third.
  • State, date, odometer and station are saved, plus the receipt photo.
  • Fuel bills and cardlock statements: upload a weekly, biweekly or monthly fuel card or cardlock statement (CSV, Excel, PDF or a photo). Each fill-up goes on the day you actually fueled, so profit and loss, IFTA gallons by state and miles per gallon are right for those dates.
  • Fill-ups are matched to each truck, and ones you already entered from a receipt are caught so nothing counts twice. You review every line before it saves, and can undo the import.
  • DEF, statement fees and discounts go in as expenses. A bill that only shows a total is spread over the days it covers.

Pay & statements

Know what every load paid, and catch it when a statement comes up short.

How you get paid

  • Set up each job or customer: pay by the ton, by scale weight (for example per 1,000 lb), or flat per load.
  • Fuel surcharge kept separate from the haul rate.
  • Optional wait pay: free minutes, then an hourly rate.
  • Change the pay by hand on any single load.
  • Rate pending: haul now, price later. Loads with no rate show as pending (not $0) on the home screen, loads list and profit and loss.
  • When the rate comes in, apply it to all the waiting loads at once, or only from a start date.

Checking the statement

  • Import the pay statement spreadsheet (.xlsx or .csv). The columns are guessed and remembered for each payer.
  • Lines are grouped by load (haul rate plus fuel surcharge) and matched to your loads by ticket or load number, then date and truck, then date and tons.
  • Short tons and missing loads get flagged.
  • Split by truck automatically. Truck numbers match loosely, so RH-104 and 104 are the same truck.
  • Owner-operators: only your truck's lines count, and other trucks on the statement show as "not counted".
  • Apply the statement to mark loads paid, add any loads you missed, and fill in pending rates.

Expenses & profit and loss

Every cost in one place, and a straight answer on what each truck makes.

Expenses

  • 14 categories: fuel, tires, repairs, parts, insurance, truck payment, permits and taxes, oil, DEF, phone, meals, wages, workers comp, and other.
  • Scan any receipt or type it in. The category is guessed from the vendor, and you can attach a truck and a photo.
  • Enter expenses daily, weekly or monthly, whenever suits you.
  • Repeating bills (weekly, monthly or yearly) like insurance and truck payments add themselves. Stop one, or change the amount from a date.
  • Catch up: type a whole pile of receipts in one go.
  • Tires: cost, position, install odometer and expected life give you a cost per mile.
  • Monthly bills are spread day by day, so a weekly profit and loss is fair.

Profit and loss

  • By day, week, month, year, or any dates you pick.
  • Money in, costs by category, profit, cost per mile, profit per load, and your best-paying jobs.
  • For each truck and for the whole business.

Tax reports

Hand your accountant one report instead of a shoebox. Haul Sheet organizes the numbers. It doesn't file anything and isn't tax advice.

  • Quarterly report with an estimated-tax helper: the quarter's profit and the year to date.
  • Year-end report.
  • Expenses sorted into the IRS Schedule C lines (you can change the mapping).
  • Per diem days times your rate, with a note about the 80% meal rule for transportation workers.
  • Miles (total, loaded, empty and by state) and fuel gallons by state.
  • For each truck and the whole business. Export as PDF, CSV or Excel.
  • Only owners, co-owners and office accounts with profit-and-loss access can see them.
  • IFTA for all US states and Canadian provinces: a quarterly report with miles and gallons by state and province, fleet miles per gallon, and tax for each state. Off-road miles are taken out. You keep the rate table up to date, with a link to the IFTA rate list.
  • Use typed miles or GPS miles for IFTA, whichever you choose.
  • Weight-mile and highway use tax reports for every state that has one: Oregon weight-mile, New York HUT, Kentucky KYU, New Mexico weight-distance, and Connecticut highway use fee. Off-road and private-road miles are taken out.
  • Oregon details: by declared weight (Table A), Table B or your own rate, or the flat monthly fee for log trucks. Monthly or quarterly.
  • Export the fuel tax reports as PDF, CSV or Excel. Nothing gets filed for you, so check them before you file.

Fleets

Drivers on their own phones, the office on theirs, and you see it all. Pay stays private.

Drivers

  • Drivers use the app free. They sign in with a fleet code, their truck number, their name, and a passcode you give them. No email needed.
  • Make or change a driver's passcode any time.
  • Drivers fill in their time card, scan tickets, add fuel and notes, and see their own hours, miles and per diem.
  • "View app as this driver" shows you exactly what a driver sees.

Permissions

  • Fleet-wide defaults, plus settings for each driver.
  • Off unless you turn them on: see load pay, rates and dollar amounts; see pay statements; see profit and loss and costs; see other drivers and trucks; edit rates and jobs; delete loads; edit locked weeks.
  • Hidden amounts are removed from the screen and the PDF, not just greyed out.
  • With online sync, the server enforces it, so a driver's phone never even receives the amounts you've hidden.

Co-owners and office

  • Invite people by email. An invite code works once, for that email only, and runs out after 7 days.
  • Co-owners (a partner, a parent) get exactly the owner's access, for every truck.
  • Office accounts (a bookkeeper) get switches you control: pay and rates, statements, profit and loss and costs, editing loads and time cards, deleting loads, managing drivers, backups, company settings.
  • People screen: everyone in the fleet, their role, truck, and when they last synced.
  • Pull up any driver's time card.

Live sync

  • Works offline first. Everything saves on the phone and sends when it gets signal. Nothing is lost while it waits.
  • The owner's screen updates within seconds when a driver's phone gets signal, with a pop-up like "Truck 217 added a load".
  • See when each truck last synced, plus an activity feed.
  • Ticket photos upload to private storage.
  • A sync status at the top of the screen.

Backups

  • Automatic nightly backup of each fleet on the server, kept 14 days.
  • Export a backup file any time (save it to iCloud Drive or email it), and restore from it.
  • An automatic daily copy on the phone.

Owner-operators

Built for one truck first.

  • The app starts in owner-operator mode. No account needed.
  • Your data stays on your phone unless you turn on online backup.
  • Online backup also lets you use a second phone.
  • Fleet screens stay hidden until you switch to Fleet in Settings.
  • Pay statements count only your truck.
  • Load example data to try everything before you enter your own.
  • Settings for company name (on the time card header), driver name, truck number, per diem rate and week start.

Highway, OTR & all types of trucking

Log, highway and OTR, regional, flatbed, reefer, dump, tanker and local. The same time card, loads, fuel and profit and loss work for every kind of trucking.

  • Truck types: log truck, highway or van, flatbed, reefer, tanker, dump, and other. Each truck in a fleet can be a different type.
  • Highway words instead of logging ones: shipper, consignee, load or PRO number, BOL, broker, trailer, commodity and weight.
  • Detention timer for time at the shipper and receiver.
  • Miles and fuel by state, for any state.
  • Highway time card with pickup and delivery columns.
  • Per diem for multi-day trips, with the travel days counted at 75%.
  • Pay types: per loaded mile, per mile (all miles), percent of line haul, hourly, per load, flat, per ton or by weight.
  • Extra pay (accessorials) like detention and layover on each load.
  • Scan rate confirmations, bills of lading and PODs to fill in the load. Like tickets, you check every number before it saves.
  • Off-road miles for each state on highway loads too.

Suggestions & feedback

Haul Sheet is shaped by the drivers who use it.

  • More, then Suggestions & feedback, for everyone: owners, office and drivers, even without an account.
  • Pick Suggestion, Bug or Other, type your message, and add a screenshot or photo if you want.
  • Leave your email if you'd like a reply.
  • Works offline, and sends when you get signal.
  • Only the developer reads it. Fleet owners can't see their drivers' feedback.
  • It never sends your loads, pay or other business data.

Trucks, maintenance & paperwork

Keep each truck legal and running, with a reminder on your phone before anything runs out.

Maintenance

  • Maintenance reminders for each truck by miles, days or engine hours, whichever comes first: oil changes, grease, tires, annual inspections and anything else you set.
  • Miles come from the odometer readings you already type in, so there's no extra typing.
  • Service history for each truck.

Pre-trip inspections (DVIR)

  • Pre-trip and post-trip checklists for the truck, trailer and load gear, set up for each truck type (log bunks and wrappers, flatbed straps, reefer unit, tanker valves, dump hoist and more).
  • Add photos of any defects, sign it, and sign off the repair later. Share it as a PDF.

Documents and permits

  • Document expiry alerts for registration, IRP cab cards, DOT annual inspections, insurance, IFTA license, operating authority, CDLs, medical cards, TWIC, hazmat, drug tests and more.
  • Take a photo of each document and the expiry date is read off it.
  • Oversize and overweight permits for every truck type: store each permit by state with its dates, allowed gross and axle weights, dimensions and escort rules. Scan it or upload the PDF.
  • Permit expiry reminders, and links to every state's permit site.
  • Reminders are scheduled on your phone, so they work with no signal.

Driver pay, invoicing & your accountant

Pay your drivers, bill your customers, and hand your accountant clean files.

Driver pay stubs

  • Pay stubs for each driver by their pay type, for weekly, every 2 weeks, twice a month or monthly pay periods.
  • Per diem, bonuses, reimbursements, deductions and advances, with year-to-date totals.
  • Mark a stub paid to lock it, and share it as a PDF.

Invoicing

  • Invoice any customer: brokers, shippers, loggers, mills, other fleets, or private people. Owner-operators and fleets both can.
  • Invoice lines fill in from your loads (haul, fuel surcharge, extra pay and wait time), or type them in.
  • Factoring support with the factoring company's remit-to and notice of assignment.
  • Send the invoice as a PDF and track what's been paid.

Accountant export

  • Everything for a period in one Excel workbook or a zip of CSV files.
  • QuickBooks Desktop (.iif) and QuickBooks Online files.

Missed something?

Tell us in the app's suggestion box (More, then Suggestions & feedback) and we'll build it. Haul Sheet is built by a truck driver, and the list above grew from drivers asking.

Examples use made-up trucks, places and companies. Haul Sheet is a record-keeping tool, not tax or legal advice. See pricing, or ask a question.
